The Operations Associate carries out daily trade operations execution across a range of domestic supply chain logistics and import / export shipment workflows for CZ Vietnam’s Grains and Oilseeds products. The person will have strong understanding of domestic logistics such as warehousing and trucking operations and ideally also extensive experience in import supply chain activities.
Previous experience within other areas of logistics such as port relationships would be an advantage, in addition to being able to demonstrate good organisation skills and an ability to communicate with members of different cultures and backgrounds from other offices and other departments to resolve issues as and when required.
Tasks & Responsibilities :
- To carry out day-to-day execution of physical contracts concluded by the commercial team on a variety of supply chain flows including but not limited to import & export (containers / breakbulk / bulk) shipments, domestic warehousing and trucking deliveries, in Grains & Oilseeds products.
- Carry out post trade contract activities and day-to-day execution of physical contracts concluded by the regional and local grains trading team. This involves planning shipments & deliveries to payment collection from Buyers.
- Follow up with local supplier on cargo readiness & check with buyer about their receiving plan to plan our delivery schedule accordingly.
- Keep buyer informed of our delivery schedule & closely follow up with them on any changes in their cargo receiving plan for our suitable action in time.
- Co-ordinate with Logistics agent in order to ensure that customs clearance procedures for imported cargo will be completed properly & quickly.
- Liaise with Local supplier & Trucking agent to ensure that cargo will be received & delivered to buyer’s WH in a timely manner.
- Creating delivery number in our in-house system, Suite
- Prepare & provide buyer with any required documents to facilitate the delivery process.
- Generate internal sale invoice & send to Accounting team for VAT invoice issuance.
- Collect, verify & consolidate Weight lists received from supplier & buyers to issue internal invoices & VAT invoices accordingly.
- Ensuring payments from buyers are made on time and follow up with Buyers on any late payments.
- Managing the payment of suppliers, transport and logistics invoices and any other costs.
- Preparation & maintenance of delivery documents in in-house system Suite and any hard copies if required.
- Handle customer’s requests relating to QA documentation
- Follow up on customers’ claims and other shipment related disputes working closely with traders for a resolution
- Join weekly execution calls with Singapore and / or Regional teams.

About you :
We are looking for someone with the following skillset and attributes :
Essential :Minimum 5 years of experience within domestic logistics, supply chain or shipping operations fields in grains
Experienced in international commodities import / export trade and shipping logistics (i.e. container shipments or bulk shipments experience).Contacts or relationships with logistics agents and port warehouse operatorsBachelor’s Degree and / or Professional Certificates in Logistics, Supply Chain Management, Business, Maritime or related disciplinesTeam player with strong work ethics, communication & organisational skillsFast learner and able to work under pressure and deadlinesAbility to act with integrity when dealing with confidential mattersProficient in Microsoft Word, Excel and Power PointExcellent written and verbal proficiency in English and local languageDesirable :Experience in GAFTA regulations.
Experience in Letter of Credits negotiation and UCP, ISBP rules.
