Administration
duties
- Handle work permit and residence card
for expats.
Handle flight & Hotel / Car Booking forregional members visit.
Handle car booking for MD.Maintain up to date information onhotel rates to all employees and update
in Intranet.
Work with vendors on immigrationprocess and documents.
Work with landlord to register allnecessary procedures for new staff.
Monitor and purchase stationeries andpantry items timely.
Manage vendor contracts & paymentrelated to Admin.
Forecast operation budget annual forBP & FC.
Support upload contract via DocuSignManage admin internal reporting.Other ad-hoc dutiesTimely submission andreimbursement for all claims, in
accordance with existing
guidelines.
Smooth operations to ensureregional members visit goes
well.
Timely update of data andsharing with staff on changes.
Ensuring prompt actionsprovided to maintain sufficient
stock level
Ensure documents are inaccordance with internal
guidelines
Ensure all vendor payments willbe prepared timely.
Prompt support to staffs whohave need.
Facility Management
Office
Maintenance
Manage and maintain office facility.Liaise with landlord, internal staff andvendor on any issues relating to office
maintenance.
Prepare documentation onmaintenance of copier machines,
vending machines and newspaper
vendor, pest control…
Other ad-hoc duties.Ensure office premises,equipment and facilities are
properly maintained.
IT Support
Liaison for IT queries between localoffice and RHQ.
Administrative preparation for ITinternal reviews, audit and checks.
Periodic reporting to RHQ on IT relatedmatters.
Assist RHQ in administering ITstandards.
Prepare and submit IT reports asrequired by RHQ.
Other ad-hoc duties.IT related matters are escalatedon timely manner.
Legal & compliance
support
Support RHQ Legal team in documentspreparation and follow up.
Keep the company legal documentsafety.
Follow up compliance activity plan withRHQ.
Complete compliance reports asrequired by RHQ.
Other ad-hoc duties.Ensure prompt & precisesupport.
Ensure reports are submittedtimely.

QualificationsB.A Degree in Business Administration or similar discipline from a recognized college / university.
