Responsibilities
Trade compliance (import and export activities) including system implementation (JDE E1, Compass and etc.)
- Oversee and support supply chain and logistics operations including customs clearance are fully compliant with import and export regulations
- Ensure compliance of operations with laws and regulations, including Customs, Duty and Cities requirements
- Proactively work with customs brokers to ensure an efficient and effective process for import / export activities while optimizing costs and ensuring executions align with Brand strategy
- Partner with regional and corporate support teams to ensure standardization of current and new processes including new systems implementation
- Responsible for accurate and timely filings of duty & tax drawback while ensuring compliance with regulations
Domestic Transportation including non-product transactions (packaging supplies and others)
Maintain relationships with internal departments and external parties to understand, anticipate business needs and provide solutionsDevelop, maintain, and execute local transportation procedures and proactively identify inefficiencies and implement initiatives to improve service, cost and efficiencyResponsible for arranging the transportation for event, transferring and others to meet the deadline of business needs.Oversee and monitor operational procedures to ensure market compliance (i.e. inventory accuracy, non-merchandise inventory in 3PL warehouse cycle counts, merchandise transfers, missing assets and etc.) in partnership with Retail Operations teamPerforms analysis of weekly and monthly Logistics key performance metrics (transportation costs, delivery time, storage costs and etc.) to ensure best rates and serviceAssist as needed with the special projects and implementationsInbound and outbound invoice and shipments
Implement and manage appropriate internal controls in relation to inventory and stock management within the store to ensure accurate stock is maintainedManage the business relationship with warehouse and freight contractorsResponsible for monitoring all deliveries to the store, assist in the reduction of lead-time and optimize delivery frequenciesCheck and verify invoices and ensure pre-alert issued by the forwarder for shipmentPrepare pro-forma invoices and handle shipment documentsMonitor the conditions of shipment arrivals. Coordinate with teams for shipment discrepancy, missing or damaged cartonsVerify freight charges, declaration fees, tax and duty and warehouse chargesData Administration of Logs and POS and support retail related activities
Ensure the transactions related to stock movement are recorded correctly in the systemsStock movement reconciliations including daily stock discrepancies, stock take, family sales and month end closing enquiriesPrice change coordination and data integritySupports stores with stock rebalancingSupport the Retail and Merchandising teams on the transfer of merchandise, Communications on events in the region and others if neededProvide instructions to departments on the packing requirement, pro-forma invoice and packing list format when necessaryProactively recommend solutions and instruct freight forwarders and warehouse to ensure Brand’s expectations and deadlines are met in a cost-effective waySupport in High Jewelry event including import / export, on-site packing / unpacking, support time sensitive shipping schedulesOther Logistics responsibilities
Shipment Coordination – daily communication with appropriate stakeholders (Brokervendor, Vendor / Forwarder Logistics, and Courier relations) for all shipment related
inquiries concerning clearance processing, invoice / packing lists discrepancy correction,
amendment requirements and delivery instructions to ensure progress of shipments and
items are delivered at most efficient lead time.
Track / update information on merchandise shipments such as part / material / dimensionsweight of gold, silver, diamonds, gemstones, etc.) for each shipment after receiving data
from the operation department.
Provide commodity name in Vietnamese for customs declaration. Provide it to Operationsand accountant department of Party B to upload in the VAT system.
Monitoring and Documentation – ensures all shipments are tracked and files according toshipping document are being filed accordingly for proper archiving and doc reference.
Coordinate with Operations for after-sale cases that are shipped out to repair center inoversea or domestic, with and without warranty, including preparing service agreements
and spare parts information.
Follow up with shippers and accounting team to clarify payment methods and reviseshipping invoice (if necessary).
Other Logistics matters (Duties / Taxes monitoring, Lab inspection, Testing, checkingpermit application, Price consultation, post-customs clearance inspection, food touch,
conformity certificate, etc) – attend to all logistics-related inquiries of internal and
external parties.
Prepare sale contract of merchandise / holding asset agreements for TIB shipments andreturn agreements.
Prepare revised invoice and labelling file for sold order request shipment from othercountries.
Support to follow up supporting package document need to be signed (local official dispatch,agreements.)
Qualifications
5+ years’ experience in retail logistics.Experience with international logistics and freight (including CITES).Ability to work independently and collaboratively as a team memberGood communicator, partnering with internal and external stakeholders to deliver on outcomes and improve the distribution processGood English and Vietnamese
